Title

Two types: (1) transcribed and (2) cataloger-supplied.

(1)   Transcribed: Type as-is into Title field.

(2)   Cataloger-supplied: Formulate a succinct title based on the prominent aspects of the resource.

The title should strive to uniquely identify the image. For photographs, prefer any written information from the back of the photo. For telegrams, letters, etc. follow formulation as prescribed in AACR2.

Omit initial articles.

Brackets, quotation marks, and ending punctuation are not used.

Creator

Person/institution chiefly responsible for the creation of the resource. Photographer of a photograph is the creator. Writer of a letter is the creator.

Standard used: Library of Congress Name Authority File. Any names not appearing in LCNAF are constructed according to AACR2. Personal names are inverted: Lastname, Firstname

Date of Original

Date

Date of the original resource.

Standard used: ISO 8601 format: e.g., 2002-20-22     (yyyy-mm-dd)

Date Scanned

Date

Date the resource was scanned.

Standard used: ISO 8601 format: e.g., 2002-20-22     (yyyy-mm-dd)

Description

Description

Description includes any information of importance that is not represented elsewhere. Where possible, include information written on the back of a photo. Usually provided by the archivist.

Subjects

Subject

Cataloger will complete these fields, which will contain topical subjects representing the content of the images. Format terms are also used to convey the type of material (e.g., Photographic prints). Standards used: Thesaurus for Graphic Materials I and II. Names of people are taken from Library of Congress Name Authority File. Names not appearing in LCNAF will be constructed according to AACR2rev.  Invert personal names (Lastname, Firstname). No ending punctuation.

Contributor

Contributor

Personal or corporate names contributing to the resource. A receiver of a letter/telegram is considered a contributor. Use same standard as field Creator, above.

Publisher

The official form of the institution name: Purdue University Libraries, Archives and Special Collections

Type

Type

Describes the original material. image used for photographs; text used for textual materials. Standard used: DCMI Type vocabulary http://dublincore.org/documents/dcmi-type-vocabulary/

Describes the digital object. image/jpeg used for images; application/pdf used for pdfs. Standard used: Internet Media Types http://www.iana.org/assignments/media-types/

Collection

Relation

The official name of the collection, e.g. Amelia Earhart at Purdue.

ID Number

Identifier

The identifier number from original collection.

Rights

Rights

Will either be a url to the rights statement, e.g., Earhart Collection Rights Management Statement

Or it will be an explicit statement added to each record as decided by the archivist.

Description of the original object; similar to 300 field in Marc format.

Three-letter code for language of the text; for photographs, leave this field blank.

For photographs, describes the orientation of the photo, i.e., Portrait or Landscape. For text material, leave this field blank.
