How do I put materials on Reserve for my courses?
Three types of materials may be placed on reserve:
Books - To place a Purdue Libraries book on reserve for a specific course, please fill in the online request form for each title. (Multiple copies of the same edition need only one form). Please fill out each form as completely as possible – author, title, edition, name of publisher and date, and call number.
· An instructor’s personal copy may be placed on reserve. However, the Library does not assume responsibility for damage or loss. A card pocket will be glued into personal books, and a bar code affixed.
Reserve file folders may contain class notes, readings, exams, etc.
· All materials must comply with copyright law. Only one copy of a journal article may be included. One photocopy of a book chapter may be included providing it meets the circumstances described below. (See Copyright guidelines below for details.)
· Folders will be labeled with a course number, instructor’s name, and class year by library staff. They are filed by class year in the copy room’s file cabinet, as a convenience for students and instructors. However, responsibility for maintaining files and contents rests with the instructors and students.
The Library encourages instructors to post this type of material to a course web site.
Media (such as videos, laser discs and CDs) – To place a Purdue Libraries media title on reserve for a specific course, please fill in the online request form for each title. Please fill out each form as detailed in the Book section above.
· An instructor’s personal media item may be placed on reserve providing it is a legally acquired/purchased copy or contains only non-copyrighted course related information. However, the Library does not assume responsibility for damage or loss. A card pocket will be glued onto personal media cases, and a bar code affixed.
Note: Journals (bound or unbound) will not be removed from the journal collection to be placed on Reserves.
Those who prefer to send their reserve requests via email should cut and paste a book or CD’s item record from the Libraries’ online catalog into an e-mail message to Tonya Wichterman. Requests sent via email must include course name & number.
What is the loan policy for Reserve items?
Reserve books and media may be checked out for a two hour period, during which they may be taken outside the Library. Reserve books checked out within two hours of the Library’s closing may be kept over night and returned as soon as the Library re-opens the next day.
Can copyrighted material be photocopied for Reserves?
Due to copyright restrictions, we can allow only a single copy of a journal article on file. We normally don't accept photocopies of book chapters for reserve, but a single copy of one chapter per book is allowed in the following circumstances:
· the book is on order by the Library;
· the book stores have run out and the title is on back order;
· the book is out of print and unavailable in our library system.
If you have copyright permission from the copyright holder, we can put more copies on reserve. We must have a copy of the agreement to keep on file in the library before we will accept additional copies.

How soon will items be ready for students?
Books & Media: Requests should be in at least three (3) weeks before the semester begins. Books & media currently on the shelf will be processed promptly; books or media that must be recalled will take longer to retrieve and process. We are happy to order books not owned by the Library; however, be aware that it can take from several weeks to months for items on order to arrive. Instructors’ copies will be processed for reserve within 2 working days.
File folders: Please allow no less than one business day for processing new file folders, (e. g., materials for a new file brought in Friday after 12:00 noon may be accessed late Monday afternoon). Additional contents may be added to existing folders at any time.
Why should I place materials on Reserve for my course?
Students can search the Libraries’ catalog for course reserve material by instructor, department, and course. If you haven’t sent in a request, your name will not be linked to the material and it could be removed from reserve without your knowledge.
Each summer, you will receive a list of all items on reserve in the VM Library in your name. To remove an item, return the list noting what can be removed from reserve.
File Folders: You can empty and refill folders as often as necessary as long as the course and professor remain the same. Folders and their contents will be sent to you each year after spring semester for your action.
